Introduction

Welcome to BHARAT CARAVANS – India’s pioneering Online Caravan Booking Company dedicated to promoting Rural and Eco Tourism at lesser-known destinations. With a vision to offer unique and immersive travel experiences, BHARAT CARAVANS is set to has launched a range of Motorhomes in various sizes to cater to different traveller preferences. Below mentioned Terms & Conditions (“Terms”) govern your use of our caravan rental services.

By booking a caravan trip with us, you acknowledge and agree to abide by these Terms.

Booking Fee

To lock in your reservation, booking fee is required. This secures your caravan and chosen dates. Please note, that in case of any cancellations, the booking fee will be refundable as per slabs mentioned in the Cancellation policy only.

Payment Methods

We accept various payment methods, including credit/debit cards, UPI, bank transfers, and other online payment options

Booking Confirmation

Your Bookings will only be confirmed after receiving 100% payment minimum 3 days prior to the journey date.

Caravan Pricing

  • SPRINTER - Compact Size Caravans (good for up to 2 Adults & 2 Kids of below 12 years of Age): Rs. 14,999/- per day.
  • SPRINTER-PRO - Compact Size Caravans (good for up to 2 Adults & 2 Kids of below 12 years of Age): Rs. 17,999/- per day.
  • WONDERER - Medium Size Caravans (for up to 4 Adults & 2 Kids of below 12 years of Age): Rs. 24,999/- per day.
  • VOYAGER - Large Size Caravans (for up to 6 Adults & 2 Kids of below 12 years of Age): Rs. 34,999/- per day.

* Prices may vary based on the caravan’s size, amenities, and the season.

Extra Charges

Any expenses that is not covered in the package such as Additional Amenities, Campsite Food, Lodging, Special permits Service and Activity Charges etc. to be paid directly by the Customer.

Security Deposit

A refundable security deposit may require at pick-up. This covers any potential damages or extra charges. We’ll refund it after you return the caravan in good condition, minus any applicable charges.

Travel Regions

Currently our caravan rental services are available in Guwahati (covering neighbouring states such as Meghalaya, Arunachal Pradesh, Upper Assam and Nagaland) and also in Delhi (covering neighbouring states such as Himachal, Uttarakhand, J&K, LehLadakh, Rajasthan & Punjab). Some regions might have extra fees or require permits. Our CRM Team will let you know about any additional costs when you book.

Cancellation and refund

  • All Bookings can be modified latest 3 working days prior to the Onboarding date.

  • 70% of the Total Booking Amount will be refunded if cancellation is done minimum 7 days prior to the Onboarding date after adjusting GST and service fee.

  • 50% of the Total Booking Amount will be refunded if cancellation is done minimum 5 days prior to the Onboarding date after adjusting GST and service fee.

  • 30% of the Total Booking Amount will be refunded if cancellation is done minimum 3 days prior to the Onboarding date after adjusting GST and service fee.

  • No refund, if cancelled within 3 days of Onboarding Date.

  • Bharat Caravans will not be liable or responsible for non-refund of any thirdparty booking cancellations. In case of any third-party booking cancellations, refunds will be applicable as per property policy only.

  • The refund will be initiated within 7 working days from the date of cancelation.

  • The amount of refund will be done through bank transfer.

Changes to Bookings

Modification Requests: If you wish to make any changes to your booking, please contact us as soon as possible. All modification requests are subject to availability and may incur additional charges.

Date Changes: Requests to change your booking dates must be made at least 14 days before the original check-in date. Date changes within 14 days of the check-in date may not be accommodated and could be subject to cancellation fees.

Upgrades/Downgrades: Upgrades to a different caravan model or package are allowed, subject to availability and additional costs. Downgrades are also possible, but no refund will be given if the new booking is of lesser value than the original

Extension of Usage: Requests to extend the trip must be made at least 2 days before the original checkout date and are subject to availability and extra charges.

Cancellations & Refunds: If changes to your booking result in the need to cancel, our standard cancellation policy will apply. Please refer to our cancellation terms for more details

Confirmation of Changes: All changes must be confirmed in writing by our customer service team. Verbal agreements are not considered binding until you receive written confirmation from us.

Special Requests: We will do our best to accommodate any special requests related to your booking changes. However, we cannot guarantee that all requests will be met.

Third-Party Bookings: BHARAT CARAVANS is not responsible for refunds related to third-party bookings (e.g., campsites). Such refunds will be governed by the property’s own policy.

Publication of Customers

By using our services, you agree that we may share your reviews, testimonials, photos, or videos of your trip on our website, social media channels, brochures, and other promotional materials. We won’t share personal information like your full name or contact details without your consent. If you prefer not to have your content published, please let us know in writing when you book or during your trip.

Limitation of Liability and Disclaimer

  • We do not guarantee, represent, or warrant that your use of our service will be uninterrupted, timely, secure, or error-free.
  • We do not warrant that the results obtained from using the service will be accurate or reliable.
  • You agree that from time to time we may remove the service for indefinite periods or cancel the service at any time without notice to you.
  • You expressly agree that your use of, or inability to use, the service is at your sole risk. The service and all products and services delivered to you through the service are provided 'as is' and 'as available' for your use, except as expressly stated by us. This means we provide them without any representations, warranties, or conditions of any kind, either express or implied, including all implied warranties or conditions of merchantability, merchantable quality, fitness for a particular purpose, durability, title, and non-infringement.
  • In no case shall the (company), our directors, officers, employees, affiliates, agents, contractors, interns, suppliers, service providers, or licensors be liable for any injury, loss, claim, or any direct, indirect, incidental, punitive, special, or consequential damages of any kind, including, without limitation, lost profits, lost revenue, lost savings, loss of data, replacement costs, or any similar or otherwise, arising from your use of the service or any products procured using the service.
  • This includes but is not limited to, any errors or omissions in any content, or any loss or damage of any kind incurred as a result of the use of the service or any content (or product) posted, transmitted, or otherwise made available via the service, even if advised of their possibility.
  • Notwithstanding anything contained herein above the absolute liability for any deficiency in service shall not be exceeding the amount of fee received by us on any account.

Insurance

Guests traveling with us are covered by basic vehicle insurance. In case of an emergency that requires evacuation and hospitalization, it is the guest’s responsibility to have adequate medical and travel insurance to cover in-hospital medical expenses and associated costs once admitted to the hospital.

Force Majeure & Natural Calamities

BHARAT CARAVANS shall not be held responsible for any disruptions caused due to natural calamities such as heavy rains, landslides, floods, earthquakes, or any other act of God. Customers must adhere to the company’s travel policy and cooperate in all such situations.

Claim for Damage

You must inspect the Caravan before signing and in case you find any fault immediately bring it to our notice. In case you do not highlight any defect or deficiency in our caravan, it shall be assumed you have received the caravan in good condition and in which case you shall be liable to pay the depreciated replacement cost and the corresponding labour cost of the item / equipment / gadget / the caravan.

Tourist Site Closure

BHARAT CARAVANS is not liable for the closure of tourist destinations by state governments, local authorities, or unions. No claims or refunds shall be entertained in such cases.

Campsite Experience

While we have hospitality tie-ups with selected campsites, BHARAT CARAVANS is not responsible for the quality of service, hygiene, or food provided by these third-party partners

Road Accessibility & Terrain Restrictions

Our caravans are not designed for off-roading or non-motorable terrain. Customers intending to travel to high-altitude or rugged areas must arrange for local 4x4 cabs in accordance with local taxi union guidelines.

Entry Restrictions

Certain cities/towns/sites may restrict caravan entry. In such cases, customers must arrange local transport for sightseeing. The assigned driver holds the right to refuse or discontinue the journey without prior notice if road conditions are unsuitable.

Vehicle Inspection

Customers are advised to inspect the vehicle at the time of delivery and report any existing damage. Post-handover damages will be the customer’s responsibility

Vehicle Maintenance

Customers are expected to ensure basic upkeep of the caravan during the rental period and must avoid any actions that may damage the vehicle.

Authorised Drivers Only

Only drivers authorized by BHARAT CARAVANS are permitted to operate the vehicle. Unauthorized driving is strictly prohibited.

Use of Vehicles

Customers must declare that the vehicle will not be used for: Illegal activities, Racing or competitions, Off-roading, Any activities violating company policy or local/state laws.

Night Halt Policy

Night travel is strictly prohibited. Caravans must be securely parked at a designated safe location post 18:00 HRS (6:00 PM), as per company guidelines.

Compliance with Laws

Customers are obligated to follow all applicable local laws during the trip. BHARAT CARAVANS bears no responsibility for any violations, fines, or penalties incurred.

Change in Pricing

All prices shown on our website/app are current and subject to change without prior notice. However, any confirmed bookings shall remain unaffected.

Extra Kilometres Running Charges

Each booking includes a free run of 250 kilometres per rental day. Rentals will be calculated on No. of Days of Actual Kilometres run, whichever is higher. Any usage exceeding the included kilometre limit will attract additional charges as per the prevailing per-kilometre rate of the selected caravan model. These charges will be calculated and communicated at the time of vehicle return and must be settled by the customer before final check-out.

Exclusions

Breakfast, Lunch & Dinner, Special permits & Local passes, Bonfire and charges of any other activity at the Campsites, Stay in the room at the Campsites, Misc. Personal Expenses etc. are not included in the Caravan rentals.

Default Conditions

The following conditions are considered as Default Conditions. Occurrence of any Default Condition during your Trip shall lead to immediate suspension of the Trip without any refund and shall entitle the Company to initiate necessary legal action against you and / or your co traveller.

  • You shall not bring or take along any pet or other animal or plant inside/ outside / along the caravan.
  • You shall not smoke or allow to smoke or use or allow to use any narcotic or similar substance inside the Caravan at any point of time. Any
  • You shall not allow any one inside the Caravan other than those who has been recorded as guests.
  • You shall not carry or allow to be carried inside the caravan any contraband or dangerous items like fuel, explosives, weapons etc.
  • You shall not carry or allow to be carried inside the caravan any items which is a prohibited item under the Wild Life Protection Act, Narcotics Act, Customs law and ANY OTHER LOCAL OR INDIAN LAW.

Additional Terms

The Company reserves the right to add / delete / alter any terms and conditions contained herein without any reference to you. Accordingly, kindly keep yourself updated about these terms and conditions.

GOVERNING LAW & JURISDICTION

  • This agreement shall be governed by and construed by the laws of India.

  • Any disputes arising out of or in connection with this agreement shall be subject to the exclusive jurisdiction of the courts located in Kolkata, India. By using our services, you agree to submit to the jurisdiction of these courts and waive any objections to such jurisdiction or venue.

  • In the event of a dispute, controversy, or claim arising out of or relating to this agreement, the parties shall first attempt to resolve the matter amicably through negotiation.

  • If the dispute cannot be resolved through negotiation within 30 days, it shall be referred to and finally resolved by arbitration by the Arbitration and Conciliation Act, 1996. The arbitration shall be conducted by a single arbitrator appointed by mutual agreement of the parties. If the parties cannot agree on an arbitrator, the arbitrator shall be appointed by the Act.

  • The place of arbitration shall be Kolkata, India, and the language of the arbitration shall be English. The arbitrator’s decision shall be final and binding on the parties, and judgment on the award rendered by the arbitrator may be entered in any court having jurisdiction thereof.
